Set up your first patient

The whole path, start to finish — from handing out a referral code to certifying your first RTM month. Each step is short, and links to the deep-dive guide when you want more detail.

This is the map for onboarding one patient end to end. Do it once and the pattern repeats for everyone after. Each step below is deliberately brief — follow the deep-dive link under any step when you want the full walkthrough.

FIRST

You’ll move through two phases: get the patient set up (steps 1–6), then the monthly loop that keeps their RTM billable (step 7). Nothing bills until consent is on file, so take these in order.

Get them into BoneArc

Generate a referral code. Open Referral Codes and create a Patient-Specific Code (emailed to one patient, single use) or a Provider Code (unlimited, shareable). For a patient-specific code, pick Post-Surgical or Managing a Condition, fill the fields, and click Generate & Send Code.

The patient registers. They download the BoneArc app and enter the referral code during registration. They’re auto-linked to you and land on your panel under Patients — no extra step on your side.

Build their plan

Open the patient. Go to Patients and click the patient to open their Patient Detail chart. This is where everything below happens.

Assign a protocol. Attach a rehab protocol or home exercise program with Assign Template. Don’t have it as a template yet? Turn a PDF or photo of it into one first with Build from Document.

Activate the care plan. For a home exercise program, click Activate RTM care plan to start the monitoring clock. For a post-operative patient, the plan follows the surgery date — use Enroll in RTM once the global period allows.

Make it billable

Capture consent. RTM isn’t billable until consent is on file. Use Send Consent Request so the patient consents in the app, or Record Verbal Consent to attest consent you obtained. Until then the plan is active but not billable.

Then: the monthly loop
Step 7 — repeat each calendar month

Review time accrues on its own. BoneArc adds to your review time whenever the patient’s chart is open; watch it as Total RTM Time on the chart.

Log the call. The treatment-management codes need one documented interactive phone call per episode. Open the Calls tab, use Log Phone Call, and attest it. The monthly RTM call ›

Certify at month end. Open RTM Billing, review Patient Status, then use the Certify Billing tab to Certify & Lock and download the report for your biller. Certifications are permanent. Certifying & downloading billing ›

That’s the full arc: a code goes out, the patient logs recovery, you assign their plan, consent unlocks billing, and each month you log the call and certify. Every patient after your first follows the same six setup steps and the same monthly loop.
